UX studio | SaaS design agency

Johanna Székelyhidi

As a SaaS provider, challenges come at every stage, from launch to growth. In the beginning, you’re focused on validating your idea and getting more users. Once you have an established business, you’ll become burdened with complex systems and outdated solutions.

We at UX studio know these challenges very well: not only do we have 10 years of experience working with SaaS companies big and small, we also have our own suite of in-house products.

Let us introduce you to our tried-and-tested solutions.

SaaS case studies

1. Designing something new: Oversee AI

Dashboard designs created by UX studio for Oversee AI,

Our client envisioned a B2B SaaS product that’d give real-time insights into AI model performance, detect anomalies, and allow insurance companies to take corrective actions to improve the models over time.

We took part in conceptualization and built it from scratch in collaboration with OverseeAI’s developer team. We started with a Proof of Concept (POC), then designed a Minimum Viable Product (MVP) that could be showcased to investors.

The intuitive interface made it easy for OverseeAI to demo the product’s full potential while offering an impressive hands-on experience.

2. Designing our own product: Copyfolio

Our very own brand builder tool, Copyfolio, was initially launched to a narrow userbase: copywriters. It soon outgrew the market, so we researched how to expand reach, and decided to focus on freelancers, as they’d need an easy-to-update professional site.

We designed and developed features to help them be visible online and get new clients. These features included custom domains, analytics and SEO settings, as well as dedicated sections and page presets.

With continuous design improvements and user research, Copyfolio has around 50,000 users now, gaining 500 registrations weekly–that’s a 40% conversion rate!

3. Redesigning a legacy product: IncQuery Suite

IncQuery Suite offers a family of products for digital engineering automation. Their innovative solutions are used by companies like NASA JPL, Ericsson and Thyssenkrupp. There was a problem, though: the suite was getting old.

Redesigning their web app was an exciting challenge for our designer/researcher duo assigned to the project. The web app underwent major improvements, introducing new features to help engineers better organize their work.

With an iterative two-week sprints approach, coupled with consistent communication, we took care of a smooth redesign process while IncQuery could focus on innovation.

Common SaaS problems, unique design solutions

1. Lack of concept validation

Whether you’re building a SaaS tool from scratch or you have an established product in need of fresh features, you’ll be busy innovating. You know it’d be best if you tested each idea before shipping, but there’s never enough time or resources.

If this sounds like you, you should drop a line to a SaaS design agency. Beginning a collaboration may seem counter-intuitive, but top agencies won’t burn your time or money.

At UX studio, we can get to work quickly, because:

  • We have streamlined processes and people ready to start within days—unlike internal hiring, which can take weeks or months.

  • Our subscription models reduce overhead. Instead of dealing with contracts, multiple invoices, or procurement processes for every project, you get a single monthly payment and predictable budgeting.

  • We also offer simple contracts, terms, and scope definitions. This reduces legal back-and-forth and accelerates kick-off.

2. Low conversion and retention

Do you keep losing paying customers, or struggle to gain them? SaaS companies tend to invest in marketing and sales as a response, which is a great strategy — but you also need to sit down with a SaaS design agency.

Why? Well, analytics only get you so far. UX researchers and designers have a special toolset and methodology. These will give you a deeper understanding of user motivations and underlying issues.

  • A UX audit analyzes your user journey and usability issues your team may have missed, getting you a comprehensive overview and actionable recommendations.

  • Want to go deeper? Our researchers will set up user tests and user interviews to talk face-to-face to your audience.

  • If you need help implementing the findings, hiring a UX consultant or a UX designer from a SaaS design agency is your best bet.

  • We at UX studio have 10+ years industry experience across SaaS verticals and a highly trained team, so you can count on us with all this. If you want to know more about our process, read on or get in touch

3. High complexity

Even the greatest products can outgrow their usefulness. We at UX studio have a soft spot for challenges like these, because we can make a massive impact in a short time, without major overhauls.

  • We map and identify issues, prioritise them, and agree on a roadmap
  • We work in sprints for faster delivery
  • Our researchers focus on discovery and ideation, from user flows to website architecture, and collect strategic recommendations for you
  • Our designer is prototyping like crazy, builds new features and crafts UI elements
  • We test our solutions with real users before handover

There are no surprises when the project wraps up: since our SaaS design agency has embedded teams, meaning that our designers and researchers only focus on one client at a time, our partners get real-time updates and are in direct contact with our experts the whole time.

4. Outdated design

We don’t have to tell you how competitive the SaaS industry is. You really need to stand out from competitors. Potential users will form an opinion of your business within 0.05 seconds. If your product looks outdated, you may not even get considered.

So…should you update your design every quarter? Absolutely not. SaaS design agencies like UX studio specialize in future-proof, scalable design solutions that stand the test of time and can be freshened up easily.

  • We base every design decision on research, so our design will be tailored to your audience instead of following generic trends
  • We build modular components which can be adjusted easily
  • We hand over a complete design system, so even after our collaboration ends, you’ll be all set to expand on our work

UX studio: your go-to SaaS design agency

With a team of 40+ UX designers and researchers, UX studio is a SaaS design agency that’s small enough to care and skilled enough to deliver.

The talent you hire from us will be part of your team, communicate with you directly, and work exclusively on your project.

We love this structure, because it offers a lot of flexibility. You can scale your design team up or down depending on your needs. Increase output during product launches and scale back during slower periods without the long-term commitments or overhead of hiring full-time staff: it’s your call.

Of course, besides how we work, there’s what we work on.

Industry-specific SaaS design solutions by UX studio

We specialize in B2B Saas products across various verticals. In our 10+ years of operation, we have created data-based design solutions in a number of niches:

  1. AI. The biggest challenge of AI products is transparency and trust. We make easy-to-understand designs, like Korero, and take user concerns and regulations seriously.

  2. Cybersecurity. As cybersecurity solutions evolve, so do threats. Scalable design is a must.

  3. Education. From MOME design university to Keystone Masterstudies, clients from the education sector frequently turn to us with usability issues.

  1. Healthcare. The stakes are high for healthcare products, as they tend to become outdated and overly complex pretty fast. These issues can be fixed with surprising ease— explore our UX research project for EZderm to learn how.

  2. Fintech. Another highly sensitive vertical? Count us in. We love balancing personalization with industry standards, so we can create safe and secure user experiences, like when we designed a generative AI for mobile banking apps.

Having deep experience in these niches means we can onboard pretty fast. We have processes and templates ready, so our experts can jump in and start making an impact from day one.

SaaS design services

Our SaaS design agency offers 3 core services.

1. UX design for SaaS

When we design user experiences for SaaS, we use agile methodologies, scalable design systems, and tailor-made user journeys.

  • An agile workframe lets us test, iterate and ship in cycles, which speeds up the process.

  • We use a scalable design system with the future in mind, so UI elements and all design components can grow with you, even after our collaboration has ended.

  • SaaS products have key moments in the user journey, from new user onboarding to subscription management and new feature discovery. We make sure these flows are not only perfect, but fit your customers to a T.

Whether we’re building a product from scratch or redesign a beloved classic, our team follows these principles.

2. UX audit & research for SaaS

When it comes to SaaS products, UX research services must be flexible: there’s no one-size-fits-all.

  • We can easily vary the depth and length of the research process according to your needs, from quick expert reviews to in-depth research.

  • What’s more, we can withdraw the researcher from the project during slower periods, or add more researchers when you need a pair of extra hands–all without the hiring hassle.

Our researchers are not only well-versed in all things UX, but they’re business-savvy, too. This means that you can easily track and measure the impact our researchers have on your project.

3. UX consultancy for SaaS

If you’re UX-curious but don’t want to commit to hiring from an agency, we have a service just for you. We’re dedicated to sharing our knowledge (no wonder we’re running a UX blog), so we’re available for UX training and UX consultancy.

  • When a UX consultant joins your team, they start with a holistic evaluation of where your company is currently standing. They’ll introduce you to the UX processes, methods and tools that’ll help you optimize the user experience.

  • UX training focuses more on internal processes, strategies, and cross-team work. Whatever level they’re at, we’ll teach your team the best design and research practices.

If you’re unsure which service you need the most, you can always chat with our team. Describe your situation, and we’ll find you a solution that fits your needs, time and budget.

Benefits of working with a SaaS design agency

Working with an agency is not your only option, but if you’re a B2B SaaS provider, it’s probably your best option. Here’s why.

SaaS design agency vs. freelancers

Some freelancers are shockingly talented, but a polished portfolio doesn’t guarantee expertise. Always check if they have enough SaaS know-how.

If they do, scaling is a question: when workload increases, your team can’t easily scale with it, especially since most of them will be working for multiple clients, and can’t allocate dedicated time for your project.

Finally, prices tend to be less flexible, and contracts are often a headache. Agencies will have a separate group of people handling paperwork, taxes and invoices, so everything is on time.

Freelancers are best suited for smaller projects that don’t really need SaaS expertise, from branding to simpler web design tasks.

SaaS design agency vs. workforce lending

When your project needs the manpower of trusted SaaS designers and researchers, workforce lending may seem like a good alternative to hiring an agency. These people are vetted experts, after all, and paperwork is handled by the lending agency. Easy.

The issue is the following: workforce lending agencies generally won’t be fully committed to your project alone, because it’s more profitable to lend the same expert to multiple companies at once.

Also, you typically won’t have direct access to the UX team, and will have to communicate through a middleman, slowing down the process.

This can also lead to quality control issues. As the expert is isolated from a larger team of UX professionals and is not in touch with you, design reviews will be surface-level and alignment will take longer.

SaaS design team vs. internal teams

If you have your own internal UX team as a SaaS company, you’ve made a very smart decision. You have a fully dedicated team who have deep domain knowledge, are accessible and accountable, and dare we say it, irreplaceable.

Then life happens.

A team member goes on paternity leave, or needs an extended holiday, or moves, or quits.  Finding a replacement means weeks of operative hassle, from recruitment to onboarding.

By the time you have the new hire on board, a SaaS design agency would have finished the project.

Agencies are trained to jump in and get up to speed. You can also scale the team up or down without firing anybody, and your in-house folk can enjoy more job security.

We at UX studio love working as embedded teams, collaborating with your in-house people while bringing a fresh perspective. We have had short sprints and collaborations lasting 5+ years; whatever our client needs.
